Job Summary:
We are seeking a highly organized and detail-oriented Personal Assistant with a strong background or interest in accounting and financial tasks to provide comprehensive support in both personal and professional capacities. This role requires someone who can manage administrative responsibilities while assisting with financial oversight, tax preparation, and professional vetting. The ideal candidate will be based in Los Angeles and thrive in a dynamic, fast-paced environment.
Key Responsibilities:
Financial Administration:
- Organize and track financial records, invoices, and expense reports.
- Assist with budgeting, expense monitoring, and preparing financial summaries.
Tax Preparation Support:
- Coordinate with accountants to prepare and file personal and business tax returns.
- Ensure all necessary documents are organized and submitted on time.
Professional Vetting:
- Research and vet professionals such as accountants, lawyers, and financial advisors.
- Coordinate interviews and manage ongoing communication with selected professionals.
Scheduling and Calendar Management:
- Coordinate financial reviews, tax deadlines, and other appointments.
Administrative Support:
- Assist with email management, document organization, and correspondence.
Travel Coordination:
- Book travel arrangements, including ensuring expense documentation is maintained.
Errands and Personal Tasks:
- Handle errands and manage personal tasks as needed.
Project Assistance:
- Support special projects or tasks requiring financial and organizational expertise.
Qualifications:
Experience: 2+ years in a Personal Assistant role or a similar position with financial or accounting responsibilities.
Education: Bachelor’s degree in Business, Finance, Accounting, or a related field preferred but not required.
Skills:
- Strong understanding of basic financial and accounting principles.
- Experience handling tax-related documents and processes.
- Excellent organizational, multitasking, and time-management abilities.
- Proficiency in Microsoft Excel, QuickBooks, or other accounting software.
- Discretion and ability to handle sensitive financial and personal information with confidentiality.
- Effective verbal and written communication skills.
